E-learning as a compliance aid for companies

Compliance is not exactly one of the most popular areas in companies. It's no wonder, because there is great uncertainty about becoming vulnerable and fearing legal consequences. However, avoiding the topic is exactly the wrong strategy. The challenge is therefore: making compliance attractive. But how?

Let's first look at the reasons why compliance is such an unpleasant field. For one thing, from the employees' point of view, people like to push away negatively charged topics. After all, these are hopefully only "what-if" cases. From the perspective of managers, compliance represents a very high organizational effort: training sessions recur repeatedly, must always be kept up to date and prepared for different target groups, and then there was the certification. For external actors, compliance means dealing with potential errors. In short, not an attractive field – and yet a very important one.

Compliance must be fun

It takes motivational approaches that illustrate the added value of compliance and take the work off the shoulders of those responsible. What if...

  • ...employees could learn in a protected environment and tailored to their prior knowledge, instead of struggling through different levels of knowledge in mandatory seminars?
  • ...they were taught complex topics in easy, small units, instead of in 8-hour frontal instruction?
  • ...learners could repeat content whenever they actually need it?
  • ...they could learn against each other via quiz in a playful and motivating way?
  • ...content were multilingual, always up to date, and available anytime and anywhere?
  • ...certificates were sent automatically?
  • ...compliance were really fun for everyone at once?

E-learning combines all these aspects and relies on modern approaches such as microlearning and gamification. Microlearning refers to learning in small units. Especially in the context of complex legal topics, content can be anchored much more easily in long-term memory this way. Gamification brings a playful approach to the topic so that learners are more motivated. Various question modes (e.g., multiple choice or yes/no questions), varied media (e.g., infographics or videos), and different learning options (e.g., quizzes or flashcards) ensure the necessary variety.

Uncomplicated organization of compliance

For managers and those responsible in the area of compliance, e-learning means less organization with more yield. After all, the learning materials are always up to date in one place and the administration runs uncomplicatedly via an editorial system. Especially with recurring topics like data protection, occupational safety, or hygiene regulations, this can save a lot of work.

If you look at the different target groups, e-learning has another advantage over conventional training sessions: By assigning different tags, for example, external parties (suppliers, subcontractors, cooperation partners, etc.) receive different learning content than employees. And all this in just one system. At the same time, a statistics function makes it clear which areas have already been learned and how successfully: compliance is finally given a measurable value here. Thanks to the definition of so-called "escalation levels", users can be automatically reminded of relevant training sessions - an ideal way for an employer to fulfill the burden of proof, which is often required in the context of ISO standards.

Communication can also be mapped via an app or a Learning Management System. Via chat or news function, there is the option to continuously sensitize those affected to the topic of compliance at any time. After all, the implementation of a compliance strategy is also always a process. Instead of one-time training, regular communication about the topic can lead to higher acceptance. How about, for example, short video messages sent via app or a sweepstakes for quiz users?

E-Learning + Compliance = Win-Win

The investment in e-learning can save costs for travel, accommodation and coordination, training materials, and facilities compared to face-to-face training. However, it can also serve as a supplement to on-site seminars. The buzzword blended learning has long been on everyone's lips. E-learning measures supplement and deepen content from face-to-face events. Everyone can jump in where they have the most need to catch up or interest. Bundled by topic areas and entry levels, the content is adapted to the user.

One thing is certain: compliance is a topic that causes discomfort in many companies. Thanks to digital solutions and a good content strategy, however, guidelines can be packaged into catchy content that is fun. Employees and external persons thus have the chance to really understand the efforts. This creates trust for one's own work and security in dealing with corresponding hazardous materials, data, or machines. Companies save time and nerves in terms of organization. And those responsible can also fulfill the burden of proof in a simple way.
